ADMINISTRATIVE ASSISTANT TO CMD EXECUTIVE

UCT’s Communication and Marketing Department (CMD) seeks a competent and experienced Administrative Assistant to support and work with the department’s Executive. The Administrative Assistant will ensure that the Executives work, and time is managed and communicated effectively and efficiently to the benefit of the department and university.
The department can be a high-stress, sometimes demanding environment, and the Administrative Assistant will be asked to juggle various demands in support of the Executive team. The primary purpose of this job is to provide an executive secretarial function to the Executive of CMD in a manner that enables and contributes to a responsive and inclusive department.
The successful candidate will ensure that there is synergy in the work of the executive between their line managers, amongst CMD colleagues, and for and with internal and external stakeholders.
The ideal candidate is experienced and flexible with attention to detail in their approach to work.
Requirements:
Grade 12 (NQF4).
3 to 5 years’ experience supporting Executive/Senior Management positions, excellent
administrative communication and interpersonal skills.
Excellent administrative skills, including high level minute taking.
Excellent communication and interpersonal skills.
Computer Literacy (MS Excel, Outlook, MS Word, MS Teams and Power point).
The ability to work independently and under pressure, which proactively considers how to optimise
the work of the CMD executive.
The candidate should be able to demonstrate skills in the following areas: planning, organising,
problem-solving and prioritisation.
Experience working as an administrative assistant in large organisations such as a university or
higher education.
Responsibilities:
Provide essential administrative office functions to the Executive office. These include, for
example, diary keeping, minute taking, meeting preparation, travel arrangements, financial
administration and general secretarial and administrative services.
Adhocally: providing general receptionist and administrative responsibilities to CMD, which consists
of five units.
Contribute towards mitigating risk by assessing all requests received, which could have positive or
negative consequences for the university and exercising discretion on who to direct the queries
to.
Centralizing and consolidating administrative support for the department.
Liaison with other Administrative and Personal Assistants, vendors, banks, partner organisations,
other communication and marketing colleagues, as well as other departments and faculties, such
as the Property & Services, HR, and Finance departments.

The annual cost of employment, including benefits, is between R378 203 and R444 945 for this permanent position.
