Description

Technical Work Responsibilities

  • Liaise with external and internal stakeholders.
  • Implementation of administration systems
  • Employee data capturing and monitoring.
  • Filing and record keeping
  • Office management
  • General office support 

Duties:

  • Prepare study files for new enrolments as per sample file and surgical packs for vaccine studies.
  • Review and file screening prescriptions for different studies on a regular basis.
  • Perform monthly OHS checks at a set date each month with relevant checklist completed and ensure readiness for OHS audits.
  • Perform the twice weekly Temperature Monitoring System downloads early in the morning to ensure the system is logging data for the time on site – that should be signed off by fellow staff.
  • Scan and file temperature control reports.
  • Complete weekly checks on all Non-Study Product stock to ensure that the first expiring batches are used first and that replacement stock can be ordered timely.
  • Capture and process quotes on ERP and follow up with vendors for deliveries.
  • Prepare study specific documents like medication logs which form adherence measurements tools.
  • Communicate effectively with internal and external stakeholders and create favourable relations with all stakeholders.
  • Provide information and feedback as required.
  • Timeous resolution of queries 
  • Implement administration systems.
  • Data capturing and monitoring.
  • Minute-taking.
  • Updating office manuals  
  • Managing electronic and printed files
  • Typing and utilising MS Office (MS Word, Excel, PowerPoint)
  • General office duties Faxing, scanning, copying.
  • Ordering and monitoring office supplies
  • Attending meetings, functions, and events
  • Organising diaries
  • Handling of guests and stakeholders
  • Comply with all safety policies, practices, and procedures according to prescribed legislation.
  • Report all unsafe activities to Senior Management/Human Resources

Requirements

Education

  • BSc (Hons) in health sciences essential.

Experience

  • Personal computer skills (knowledge and skill in using Microsoft office package, in particular MS Excel, MS Word and MS PowerPoint)

Advantageous

  • Pharmaceutical science experience
  • Driver’s license

Requirements

  • Willing to work with a team.
  • SA Citizen or valid work permit to work in South Africa
  • Minimal/Moderate/Excessive overnight travel (up to 30%) by land or air if required.
  • Willing to work overtime.
