Important Information for Applicants

All shortlisted candidates, including those applying for Senior Management Service (SMS) positions, will be required to complete two pre-entry assessments:

  • A practical assessment to evaluate technical and generic competencies.
  • An integrity assessment focusing on ethical conduct.

Shortlisted SMS candidates will also undergo a technical assessment and interview. Following these processes, up to three SMS candidates may be selected for psychometric assessments to evaluate cognitive abilities, behavioural preferences, emotional intelligence, and integrity.

Applications must be submitted using the updated Z83 application form, available from any Public Service Department. The application should only be accompanied by a detailed curriculum vitae (CV) outlining previous work experience comprehensively.

Applicants must ensure that the Z83 form is completed in full in accordance with DPSA guidelines. Failure to do so will result in automatic disqualification.

At the application stage, candidates are not required to submit certified copies of qualifications or supporting documents. These will only be requested from shortlisted candidates before the final selection process.

Minimum Requirements

  • Grade 12 (Senior Certificate) or an equivalent NQF Level 4 qualification.
  • A Records Management Certificate or qualification related to compensation legislation will be advantageous.
  • At least three years of experience in archiving and records management.

Knowledge and Competencies

  • Registry procedures and records management practices.
  • Data capturing and computer operation.
  • Public Service legislative framework.
  • Storage, retrieval, and records management systems.
  • Registry operations and procedures.
  • Knowledge of the Occupational Diseases in Mines and Works Act (ODMWA), Act 78 of 1973.
  • Good written and verbal communication skills.
  • Strong interpersonal and organisational abilities.
  • Planning and coordination skills.
  • Computer literacy, including Microsoft Office applications.
  • Ability to work independently and as part of a team.

Key Responsibilities

Registry Supervision and Client Services

  • Supervise registry counter operations and provide registry support services.
  • Respond to telephonic and other enquiries.
  • Assist clients and receive hand-delivered correspondence and files.
  • Register incoming documents and maintain accurate records.

Correspondence Management

  • Oversee the receipt, sorting, registration, and distribution of incoming and outgoing mail.
  • Ensure efficient dispatch of correspondence.
  • Communicate registry-related notices and information.

Records and Filing Management

  • Supervise filing and records management activities.
  • Open and close files according to the approved records classification system.
  • Manage the filing, storage, retrieval, and tracing of documents both electronically and manually.
  • Maintain and update index cards and file records.

Registry Equipment and Postal Administration

  • Supervise the operation of registry-related equipment and machinery.
  • Manage the franking machine, process outgoing mail, and maintain daily financial records.
  • Secure and dispatch mailbags for delivery to the post office.
  • Deliver remittances to the finance section and obtain acknowledgment of receipt.

Archiving and Disposal Services

  • Coordinate document archiving and disposal processes.
  • Scan files electronically and prepare records for archiving.
  • Sort, package, and distribute archived files.
  • Compile archival documentation lists and maintain accurate archival records.
