Supply Chain Administrator

Purpose of Role

The role is responsible for assisting contracts managers to effectively enforce contracts made with suppliers, customers, contractors, employees or government agencies. Prepare contract documents, preparation of bidding documents, evaluation of bids, set up meetings for the manager, communicate with contractors, maintenance of a contracts database and contracts files

NB: Please note this is a fixed term contract for 06 months

Role Context

  • Vendor data input into the X3 system;
  • Prepare / maintain Contracts Database and monitor the renewal of contracts or new bidding process and advice the Contracts Specialist on the actions to be undertaken in a timely manner
  • Prepare and maintain contracts files for all contracts entered into by Tharisa. Contracts files should be complete and addition information updated
  • Prepare POs for contracts, ensure budgetary clearance and keep track their status
  • Receive, manage procurement requisitions and act on all outstanding issues
  • Reconcile contracts records and accounts i.e. monitor contract expenditures against budget and contractual ceiling amounts
  • Provide input into the procurement planning exercise
  • Produce tender documents under the guidance of the Contracts Supervisor
  • Carry out bid opening and analysis. This will involve preparation of abstracts of offers, bid analysis and compiling data contained in the bids for consideration for award of contracts
  • Prepare contracts in consultation with Contracts Supervisor
  • Prepare or assist with submissions to the Contracts Committee for review
  • Prepare reports, minutes and assist in the compilation of data for the Annual Report
  • Perform other duties as assigned

  • Effective interaction between the suppliers and customers
  • High client orientation – maintain effective working relationships with clients and remain calm and polite under pressure
  • Contractor orientation – ability to work effectively with numerous contractors in various commodities in the administration of contracts
  • Planning and organizing – demonstrated ability to execute work assignments and ensure timely delivery of results
  • Ensure good customer service to the production unit and behave accordingly
  • Ensure that materials and services comply with the production specifications
  • Ensure efficient commercial control and adherence to policies and procedures, as well as the mines health and safety act
  • Administer all price increases and conduct comparisons through economical indices
Job Requirements

Minimum Requirements

Qualifications:

  • Grade 12/ NQF Level 4
  • Studying towards Certificate in Purchasing/Materials Management or Procurement

Job specific experience:

  • Valid driver’s license code 08
  • Computer literate
  • 1-2 years relevant experience is required

Inherent requirements:

Must be medically fit
