ADMINISTRATIVE OFFICER (Post level 10) (One post)

In pursuit of the ideals of excellence and diversity, the University of Pretoria wishes to invite applications for the above-mentioned vacancy with the aim of appointment of suitable candidates.

RESPONSIBILITIES:

To deliver a comprehensive administrative and secretarial function to the Academic Development Unit.

 MINIMUM REQUIREMENTS:

  • Grade 12 or
  • Relevant National 3 year /Secretarial/Office Administration Diploma;
  • 4 years experience with Grade 12;
  • 2 years experience with a 3 year Diploma;
  • Administration experience;
  • Secretarial experience.

 REQUIRED COMPETENCIES (SKILLS, KNOWLEDGE AND BEHAVIOURAL ATTRIBUTES):

  • Purchasing procedures
  • Office practices, procedures and equipment, including filing systems;
  • Knowledge of procedures regarding finance, personnel, publication;
  • Microsoft Office (Word, Excel), Google (Docs, Sheets, Gmail, Calendar, Drive, etc.) database management, Internet, email);
  • Administrative systems such as PeopleSoft;
  • Search and retrieve information from databases;
  • Good Planning and Organisational skills;
  • Effective interpersonal skills with the ability to handle issues with tact and sensitivity;
  • Able to work and manage own time and able to complete tasks and projects on time and to a high standard;
  • Empathy and professionalism in dealing with students and parents;
  • Ability to communicate effectively both verbally and in writing in English;
  • Good Planning and Organisational skills;
  • Effective interpersonal skills with the ability to handle issues with tact and sensitivity;
  • Able to work and manage own time and able to complete tasks and projects on time and to a high standard;
  • Empathy and professionalism in dealing with students and parents;
  • Ability to communicate effectively both verbally and in writing in English.

ADDED ADVANTAGES AND PREFERENCES:

  • Education to degree level or equivalent;
  • Previous experience in a secretarial/administrative role in the higher education sector;
  • 3 year’s experience.

PLEASE NOTE: As part of the selection process, shortlisted candidates may be required to participate in relevant skills assessments. 

The annual remuneration package will be commensurate with the incumbent’s level of appointment, as determined by UP policy guidelines. UP subscribes to the BESTMED and UMVUZO medical aid schemes and contributes 50% of the applicable monthly premium.
