POSITION OBJECTIVE:

To provide a high quality, responsive administrative and secretarial support to the Ethics Officer and General Manager: Risk Management.

MINIMUM REQUIREMENTS:

  • A Senior Certificate (Grade 12), and
  • NQF Level 6 qualification in Office Administration, Public Administration, Project Management, Business Administration or related field.
  • At least three (3) years relevant administrative experience.

The successful candidate may be required to travel occasionally between SANRAL provincial offices for meetings, training and/or stakeholder engagements. 

ADVANTAGEOUS:

  • An NQF 7 qualification.

TECHNICAL COMPETENCIES:

  • Accuracy in capturing decisions, noting action owners and tracking resolutions across successive meetings.
  • Maintaining registers, trackers and dashboards for the function
  • Ability to draft, format and proofread formal reports, briefing notes and submissions.
  • Experience with electronic document/records management systems
  • Coordinate procurement-related processes across both functions, including (but not limited to) compiling IPO documentation, preparing payment requisitions and invoices and supporting SCM bid committee processes.
  • Ability to prioritise and reprioritize under shifting demands across two reporting lines (Ethics Officer and GM: Risk Management).
  • Ability to conduct basic desktop research and compile summaries for senior manager
  • A high level of computer proficiency is required in MSWord, Excel and PowerPoint.

KEY RESPONSIBILITIES:

Administration and Office Management

  • Proactively support both the Ethics Officer and General Manager: Risk Management function with matters within their scope of work.
  • Responsible for filling and documentation of the respective function’s documents.
  • Process incoming documents by prioritisation and distribute accordingly (memorandums, claims, authorisations) amongst other related responsibilities.
  • Type and draft correspondences such as memos and letters amongst others if required.
  • Co-ordinate facilities-related requirements for team i.e. arrangement of laptops, access cards.

Co-ordination

  • Coordinate all travel requirements for both line managers.
  • Coordinate diaries regarding meetings within respective function
  • Coordinate the submission of reports to relevant structures.
  • Coordinate activities between Ethics Officer and GM: Risk Management and their direct reportees.

Meetings

  • Compile meeting agendas in collaboration with the respective chairperson of the meeting.
  • Responsible for accurate and complete minute taking and timely distribution thereof.

Compliance & Stakeholder Liaison

  • Ensure compliance of submission dates to relevant structures.
  • Ensure liaison of respective function with other functions within SANRAL as well as external stakeholders.
  • Attend to general enquires from external stakeholders within respective function.
