Introduction
A vacancy exists for a Filing clerk based at Life Bay View Private Hospital, reporting to Veronica Jansen, Bill Auditor. The successful candidate will be responsible for managing daily filing and archiving processes and ad-hoc duties as required.Critical Outputs
- Manage operational efficiency in the daily filing & archiving processes.
- File patient files daily and maintain an efficient system.
- Retrieve patient files on request and complete a register for files requested, ensuring the proper procedure is followed.
- Scanning of patient records to ORBIT daily.
- Ensure timely distribution of mail and other documents to relevant parties.
- Manage internal and external requests for patient records and ensure it comply to PAIA guidelines.
- Attend to AD-HOC duties as requested:
- Stationary orders and management/SAP.
- Nursing clinical record orders and management/SAP.
- Assit other members of the team with reaching deadlines and goals as set by management.
- Delivering uncompromising quality to all our customer, i.e., Internal and External.
Requirements
- Matric
- Administrative experience
- Computer literacy
- The ability to work proactively and independently, as well as be part of a team, are paramount to this position as is the ability to interact at all levels internally and externally in a mature and consistent manner.
- Previous experience in archives will be advantageous.
- Must be a fast learner and have attention to detail

Introduction
A vacancy for a Wad Clerk has arisen at Life Kingsbury Hospital, Cape Town, reporting to Unit Manager, Patricia Freeman. The successful incumbent will be responsible and accountable for both the secretarial duties as well as billing & assist the bed bookingsCritical Outputs
- Do all billing for the ward
- Set up and maintenance of preferred stock levels, and daily ordering to ensure a quality pharmaceutical supply service.
- Order generation, placement and follow up.
- Responsible for data capturing, patient filing, and all general clerical and administrative work given by the Unit manager and Senior Registered nurses.
- Management of stock transfers and management of SAP reports.
- Participate in the implementation and management of formularies and RSRT initiatives.
- Participate in cycle counts, stock takes and dead stock management.
- Item master maintenance.
- Establish and maintain good relationships with all other departments within the hospital.
- Effectively respond to queries and handle it accordingly.
- Correct and accurate billing of Patient accounts and Cost Sheets.
- High professional standards and a commitment to your own development.
Requirements
- Matric
- Computer literacy and proficiency in Microsoft Office (excel, word) is essential.
- General administrative experience – at least 1 year
- A working knowledge of the SAP system and sound knowledge/Experience of stock control in a hospital environment
- Ability to work in a fast & stressful environment, attention to detail and results orientated.
- Excellent inter-personal and communication skills are important, as are good relationships with doctors, staff and suppliers

Maintenance Assistant
Facility: Life St James Hospital
Introduction
A vacancy exists for a Maintenance Assistant based at Life St. James Hospital, reporting to Nico Oliphant, Hospital Engineering Manager. The successful candidate will ensure well maintained and reliable assets through routine inspections and maintenance eliminating equipment faults and quick deterioration of assets associated with Land and Buildings.Critical Outputs
- Conduct Daily, Weekly, Monthly, and Annual Planned Maintenance on all equipment.
- Inspect all hospital spaces/areas daily to identify problems or defects with building, land, furniture, and fixtures.
- Respond to ward and general area requests for soft maintenance services, including replacing air filters, installing new locks, troubleshooting smoke detectors, etc.
- Repair plumbing, furniture, ironmongery, bathroom fixtures and fittings and safety systems in the wards as required.
- Ensure the parking lot and sidewalks are free from any obstructive features that may cause.
- Test performance of in-unit appliances, such as toasters, microwaves, stoves, ovens, water hydroboils and coffee machines.
- Provide nursing staff with advice and guidance on maintaining their wards and common areas.
- Respond to requests from doctor’s rooms, auxiliary services areas and soft services maintenance requests as reported.
- Be fully capable of maintaining and repairing fixtures such as air conditioning, carpentry, drywall, small power, flooring, kitchen, bath, roofing, windows, and doors.
- Maintain and arrange signage, wall pictures, flowerpots, decorative fixtures, television mounting and road marking.
- Complete and return all maintenance job cards to Maintenance Office
- Be able to perform after hour standby duties during call outs/emergencies.
Requirements
- Matric / Grade 12
- At least N2 or Higher Technical Trade Courses with minimum of 3 years in engineering maintenance or facilities maintenance
- Minimum N3 in Electrical or Mechanical would be advantageous.
- Must have a valid driver’s license.
- Practical experience in hospital environment or similar environment is essential.
- Good communication Skills (both verbal and written).
- Good Planning and Organizing Skills.
