Administrative Assistant (Operational Procurement) – FINA19309 – (2100005V)

Position: Administrative Assistant

Department: Finance
Division: Supply Chain Management
Salary: R214 368 – R294 048 per annum (plus benefits)

Core Responsibilities:

Provide administrative support to the Senior Manager Operational Procurement as and when required
Implement operational process to ensure that the operational process with the required outcome is achieved
Implement the governance and risk management ensuring that the governance and risk management complies with CoE’s internal processes, policies and the MFMA
Ensure adequate implementation and maintenance of financial process ensuring that the financial process with the required outcome is achieved
Maintain customer service orientation ensuring that the customer services orientation, namely our direct stakeholders and National Treasury are adhered to
Constantly align own work method in response to changes in policies, processes, SOPs and delivery systems in line with contracted targets
Ensure quality of own work, minimise mistakes and continuously improve on quality and standards
Ensure effective and accurate administration of all financial related programmes and projects within the area of accountability
Provide a comprehensive administrative service, ensuring timeous and accurate service delivery
Obtain information for appointments / meetings to be scheduled
Arrange meetings and manage the Senior Manager’s diary
Responsible for incoming and outgoing mail and telephone management for the Office of the Senior Manager
Distribute mail to relevant personnel received from the Senior Manager and follow up on due dates
File correspondence received
Order stationary, consumables and any other office requirements for the Office of the Senior Manager
Type for the Operational Procurement section in respect of correspondence, items, comments, budgets, letters and memorandums and minute taking during meetings
Capture requisitions as and when required
Stock control (stationary, consumables, office equipment)

Qualifications

Minimum Requirements:

Grade 12 or relevant equivalent NQF Level 4 qualification
1 – 2 years’ experience in a similar environment
