About the Position
The National Skills Fund (NSF), within the Department of Higher Education and Training (DHET), is seeking a suitably qualified and motivated individual to fill the position of Senior Administration Clerk on a 24-month contract. The successful candidate will provide comprehensive administrative and clerical support to the Chief Directorate: Strategy, Innovation and Organisational Performance, ensuring the effective coordination of meetings, documentation, reporting, and operational activities.
Minimum Requirements
- Grade 12 Certificate or National Certificate Vocational (NCV) Level 4.
- At least 12 months of relevant administrative experience.
- Strong organisational and time-management skills.
- Ability to work proactively, independently, and with attention to detail.
- Excellent interpersonal, verbal, and written communication skills.
- Proficiency in Microsoft Office applications, including:
- MS Word
- MS Excel
- MS Outlook
- MS PowerPoint
Key Responsibilities
Administrative and Office Support
- Provide comprehensive administrative support to the Directorate.
- Coordinate and organise meetings, workshops, and strategic planning sessions.
- Manage office correspondence, documentation, and filing systems.
- Track, process, and maintain records of incoming and outgoing documents.
- Establish and maintain both electronic and manual filing systems.
- Develop and maintain an effective document management and tracking system.
Strategic Planning and Performance Support
- Assist with the coordination of strategic planning activities and engagements.
- Provide clerical support in the preparation and development of:
- Strategic Plans
- Annual Performance Plans (APPs)
- Annual Operational Plans (AOPs)
- Compile reports and maintain supporting documentation for strategic planning engagements.
- Validate supporting evidence against reported performance information on a quarterly basis.
- Assist in preparing portfolios of evidence required for internal and external audits.
- Perform quality assurance checks on performance agreements and review documentation before submission to Human Resources.
Secretariat and Meeting Coordination
- Provide secretariat services to committees and project teams.
- Prepare meeting agendas and distribute documentation.
- Record, compile, and distribute meeting minutes.
- Coordinate logistics for meetings, workshops, and stakeholder engagements.
- Serve as Secretariat for project-related meetings and ensure proper record-keeping.
Financial and Operational Support
- Assist in monitoring cash flow activities and coordinating financial administration within the Directorate.
- Process administrative requests related to procurement and operational requirements.
- Arrange travel, accommodation, transport, and venue bookings for official engagements.
- Order and maintain office stationery and equipment supplies.
Records and Correspondence Management
- Manage document dispatch and receipt processes.
- Draft and type reports, letters, memoranda, and other official correspondence.
- Maintain accurate records and ensure documentation is readily available for audit and compliance purposes.
