Job Purpose:

  • Front desk receptionist act as the face of the company.
  • Responsible for answering the phones, transfer calls, schedule meetings and appointments, answer questions, give directions and manage all movements in the office.

  • Secretarial Diploma or Receptionist Diploma/Certificate.
  • Telephone etiquette.
  • Customer service.

Job Descriptions:

  • Serves as the face of the company, offering friendly service to those entering the building or calling in on the phone.
  • Greets people entering the building, answering any questions, providing directions and alerting staff when someone is there to meet or visit them
  • Answer a multiple line phone system and manage calls by routing them to the proper extensions.
  • Taking accurate messages and delivering them.
  • Setting up conference calls as requested.
  • Accept deliveries, mails and ensure they get to the recipient in a timely manner.
  • Manages outgoing mail and packages for pickup.
  • Bookings of all trips, travels and meetings
  • Manages the building log of who is entering and exiting the building.
  • Handle filing and data entry as requested.
  • Notifies company‚Äôs personnel of visitor arrival.
  • Maintains security and telecommunications system.
  • Informs visitors by answering or referring inquiries.
  • Maintains security by following procedures, monitoring logbook, and issuing visitor badges.
  • Keeps a safe and clean reception area by complying with procedures, rules and regulations.
  • Supports continuity among work teams by documenting and communicating actions, irregularities, and continuing needs.
  • Contributes to team effort by accomplishing related results as needed.
  • Assists with the management of managements diaries
  • Assists with new recruits and induction of new staff
  • Management of office supplies
